What invoicing and bookkeeping admin covers
Invoicing and bookkeeping admin is the paperwork that keeps your books ready for whoever does the accounting. An assistant works in QuickBooks or Xero to create and send invoices, send payment reminders, match receipts to transactions, enter bills for your approval, compare vendor statements with what you have on file and organize documents for your bookkeeper or CPA.
The assistant does not move money. They do not pay bills, change bank details, approve payments or give tax advice. Those decisions stay with you and your accountant, and the work is set up so each one has a clear approval point.
A usual month of billing admin
The rhythm is usually weekly, with a pass at month end.
- Each week: invoices created and sent for finished work, reminders sent on overdue ones, receipts matched in the bank feed, new bills entered as drafts.
- Month end: vendor statements compared with recorded bills, open questions listed for your bookkeeper, and the month's documents filed in a shared folder.
- As needed: a customer asks for a copy invoice, a vendor sends a corrected bill, or a new customer needs setting up.
You get a short summary of what went out, what is overdue and which bills are waiting for your approval.
Setting up QuickBooks or Xero access
Both QuickBooks Online and Xero let you add users with limited roles, and that is the safer way to bring in an assistant. Create a user in the assistant's own name. Pick a role that covers invoicing, bills and attaching documents, and leave out rights to pay bills, approve payments, change bank accounts or manage other users. Role names differ by product and plan, so check the current options in your account settings.
Keep the bank itself separate. Matching transactions in the bank feed does not require online banking access. Store logins in a password manager and turn on two-step sign in. When the engagement ends, removing the user should be part of closing it out.
Questions about invoicing and bookkeeping admin
Can the assistant pay our bills?
No. The assistant enters bills and prepares them for approval, and you or your accountant release payment. Keeping payment rights off the assistant's login is one of the simplest safeguards in billing support, and it should be part of the setup from day one.
What happens if a vendor emails new bank details?
The assistant changes nothing. They forward the request to you, and you confirm it through a contact you already have on file before any update. New bank details sent by email are a common route for payment fraud, so this rule belongs in the written procedure.
Can the assistant work alongside our bookkeeper?
Yes, and that is a common setup. The assistant handles the daily paperwork and your bookkeeper or CPA handles the accounting. Agree on the folder structure, how questions get passed along and what the bookkeeper wants ready at month end.
